Weekly reporting of office statistics Keeping track that the patient payments are being collected on a daily basis Having a collaborative relationship with all staff Support in marketing material Keep things organized and maintain a pristine and welcoming environment Documentation - Administer and process confidential information Facilities:
Assist wtih administrative and office activities, including purchasing, clinic equipment, inventory etc.
Establish systems and policy and procedures to make sure things flow effectively and efficiently.
Support Office Staff:
Scheduling - Managing the therapists schedules and patient appointments Phones - Answer incoming calls, faxing, scanning and photocopying as needed Filing and data entry- Maintain accurate input in the paperwork and EMR (quality control) Medical insurance -Verify in/out of network benefits and delivering that information to patients clearly and professionally Privacy - HIPAA compliance guidelines in relation to billing, collections, clinic environment and patient information Required Education and
Experience:
Minimum 3 years customer service/program management experience in a customer-focused environment Minimum 3 years of proficiency with Microsoft Office, including Word, Excel, PowerPoint, Active Campaign, Google Calendar and able to easily pick up other software Strong phone, customer service and problem resolution skills Other duties will be:
To help with back office duties such as tidying up treatment rooms, stocking small supplies, showing patients to their rooms and other duties, as requested to help everything run smoothly.
